A debit answers only one question
A bank debit related to payroll cards establishes a movement of employer money from a funding account. It does not, by itself, prove that each named employee received usable wages. For Fintwist or Corpay Prepaid arrangements, the exact funding schedule and report names belong to the employer’s agreement, not to an independent article. The CFPB explains what a payroll card is; it does not certify that a specific transfer completed.
Gather the approved payroll register, the planned card allocation, the bank activity and the provider’s transaction or batch acknowledgments. Label their dates in the employer’s time zone and preserve the underlying report versions. A debit posted after midnight might belong to a different calendar date from the payroll close. Matching on date alone can therefore hide a true difference or create a false one.
A bank match needs a batch match
If the payroll system says $14,400 was directed to the card channel and the bank shows a $14,400 debit, do not stop there. Check which batch or funding notice the debit paid for, whether that batch contains the same employee instructions and whether any items were later rejected. An employer may fund multiple payroll runs in one transfer, or a provider may require a reserve or prefunding step; neither possibility is asserted as a Fintwist feature here.
A clean workpaper shows both a many-to-one and a one-to-many match when needed. For example, two weekly payroll runs might be grouped into one remittance, while a single approved run could generate a standard funding debit and a later exception payment. State which bank entries were used and which provider acknowledgment supports the allocation. Do not turn an unallocated bank debit into a guessed employee payment.
Treat timing as an open variable
A completed payroll calculation, an authorized bank payment and employee access to wages can happen at different times. Ask the contracted parties for cutoffs, holidays, exception windows and the point at which a funding instruction can still be recalled. Record those answers alongside the runbook. An archived marketing page is not reliable evidence of a particular employer’s cutoff.
When the debit occurs but a provider file was rejected, finance and payroll need a joint view of where the funds sit and what obligation remains. Mark the difference pending until there is evidence of a return, an accepted replacement or another valid wage-payment route. Avoid a balancing entry that conceals an unresolved employee payment. What the reviewer signs off
The reviewer can sign off that the bank activity, allocation and response files were reconciled to defined tolerances, with specified exceptions open. They cannot certify an individual worker’s card balance from employer-side data unless their legitimate system supplies that evidence. This scope statement protects the quality of the record as much as a neat zero variance does.
Store payroll data securely and retain records according to the employer’s applicable duties. The IRS describes employment tax recordkeeping separately from wage and hour records. Bank holidays and split funding
A Friday pay date after a bank holiday exposes the difference between entering a file, authorizing funding and observing a bank debit. The reviewer should gather timestamps from both sides and ask which clock each system uses. An early bank withdrawal is not necessarily an early wage posting, and a later debit is not by itself proof of a missed payday. The applicable agreement and service reports decide what the entries mean.
If funding is split across accounts, avoid assigning the entire payroll-card total to the first convenient debit. List every source account and any approved transfer between them. Confirm that the same amount was not matched again to direct deposit or taxes. An accountant can close the cash movement only when each piece has an explained destination and exceptions remain separately visible.
The check to carry forward
Which batch did the bank debit fund, and where is the accepted-item evidence for that particular batch? Record the answer beside the source document, date and owner. If the evidence does not exist, list the missing item as an open question; do not convert the absence into a successful reconciliation. This disciplined distinction is the point of an employer-side accounting file, and it is the limit of what an independent article can suggest without the underlying program records.
