Do not apply one date to everything
A payroll-card program creates several records: wage calculation, time and pay basis, employee wage-method instruction, bank funding, provider response and a possible correction. They may be governed by different obligations. The DOL Fact Sheet 21 says employers preserve payroll records for at least three years and certain computation records for two. The IRS employment tax guidance describes at least four years for employment tax records after the relevant annual filing point. These are distinct federal descriptions.
State wage laws, litigation holds and contractual duties can require other handling. The classifications above are editorial guidance, not a universal destruction schedule. A business should have its payroll, records and legal owners approve the actual schedule. Never delete an unresolved exception merely because a spreadsheet reaches a preset age.
Give the evidence a home
Assign each source document an owner and a retrieval path. Payroll register and computation support may live in the payroll system; a bank statement may be held by finance; a provider acknowledgment may arrive in a secure partner channel. The retention question is only useful if an authorized reviewer can retrieve the same version later and explain how it joins the run.
A list of filenames alone is fragile. Include payroll period, report export date, method, batch or run reference and the applicable policy category. Avoid putting full card numbers or account credentials into the filename. Reconcile the category to the legal schedule approved for the employer. The audit packet shows how a retrieval test can expose gaps early.
Preserve corrections without multiplying copies
If the wage instruction was corrected, preserve the original and the correction with linked identifiers. Do not alter an old PDF and make it appear that the original was never rejected. Conversely, copying every report into unprotected email chains increases unnecessary exposure. Keep a controlled case record with an immutable source reference where the employer’s tools allow it.
Suppose an employee requests proof of pay eighteen months after a rejected card instruction was replaced by another method. A reviewer should see the approved wages, both attempted and successful delivery records, and the date the issue was resolved. This is a hypothetical retrieval test, not a promise that all providers supply a card-level posting report to employers.
Check the policy on a calendar
Review the retention schedule when an issuing bank, provider, payroll system or state footprint changes. Revisit legal holds and access rights before routine deletion. A public site cannot determine an employer’s contracts or jurisdiction from the Fintwist name. It can make the separate questions visible so the appropriate decision makers have a better inventory.
Document the sources and their review date. If a federal page changes, update the internal policy after assessing the actual effect; do not automatically treat the site’s source-check date as a legal opinion. The current public provider name is Corpay Prepaid. That name change does not itself establish a new retention period.
Prove retrieval before a dispute
Pick one older payroll period for a controlled retrieval test. Can the team locate the version of the wage-method election effective then, the payroll register, bank funding evidence and the exception history? If not, the document inventory has a gap even if the nominal retention years are correct. Fix the storage and indexing process before a worker or agency requests a record. Access should be limited to staff with a real business need.
Retention also includes secure disposal. When a record is eligible for deletion under the approved policy, check for holds and linked cases, then follow the employer’s process across backup and export locations. Do not promise that deleting one local copy erases all provider or host records. The article neither defines legal retention for every state nor inspects a reader’s systems.
The check to carry forward
Which policy category owns each record, and can an authorized reviewer actually retrieve the linked versions? Record the answer beside the source document, date and owner. If the evidence does not exist, list the missing item as an open question; do not convert the absence into a successful reconciliation. This disciplined distinction is the point of an employer-side accounting file, and it is the limit of what an independent article can suggest without the underlying program records.
